Sites and Areas

Admin > Sites and Areas

The Site and Area where the work takes place are selected from a dropdown list at Permit creation.

Administrators can create multiple sites, and within each site multiple areas – e.g. in the screenshot the ‘Primary’ Site has the Areas ‘Admin Office’, ‘Kitchen’, etc.

Permit numbers (allocated automatically by the PTW system) can be pre-fixed with a site identifier.

The Permit Board and Location Maps display permits by their Sites and Areas (see the Layouts section).

The Sites and Areas Screen

From this screen, the Administrator can create, edit and delete Sites and Areas.

For each site/area, they can also:

  • Set up automatic email notifications for HSE, Environmental and Contractor Managers, which are sent out at key stages of the Permit Workflow for a site/area.
  • Designate a user to be ‘Area Manager’ for an Area. This turns on the ‘Area Authority Approval’ workflow for Permits created for that area (i.e. the Area Authority must approve a permit before it can be approved and issued by the Permit Issuer – for more information on workflows, please refer to Permit Workflows)
  • Set their position in Google Maps
  • Define a custom numbering format for permits to represent a site

Creating, Editing and Deleting Sites

Admin > Sites and Areas

To create a new Site:

  1. Click the ‘Create New Site’ button at the top right.
  2. Enter a site name into the description field.
  3. If required, enter a prefix for the site, to be used in automatic permit numbering.
  4. If automatic email notifications are required, enter email addresses for Environmental User, HSE Manager and (if enabled) Contractor Manager and tick the ‘send email’ box. (Also see Setting up Automatic Email Notifications for Environmental User, HSE )
  5. To send an automatic ‘daily lookahead email’ to the HSE Manager, tick the ‘daily lookahead’ box.
  6. Click the ‘Save’ button to save the new site, or ‘Back to List’ to leave Site Edit without saving.

To edit an existing Site, click the ‘Edit’ button below the site name and proceed as described above.

Once created, Sites cannot be deleted. Contact support@pisys.co.uk.

Setting up a Custom Permit Numbering Format for Individual Sites

Permit numbering can be customised to include a specific pre-fix for a site.

This is set in the Site Edit screen.

Creating, Editing and Deleting Areas

To create a new Area within a Site:

  1. Scroll to the relevant site (if several sites exist) and click the ’Create New Area’ button below the site heading.
  2. Enter an area name into the description field.
  3. If required, select an Area Manager from the dropdown list.
    This turns on the ‘Area Authority Approval’ workflow. If the name of the required Area Authority is not in the dropdown list, set them up as a user first (as per section on Creating, Editing and Archiving Users).
  4. If required, enter an email for the HSE Manager and tick the ‘send email’ box for automatic email notifications. (Also see section on Setting up Automatic Email Notifications for Environmental User, HSE ) when a permit is issued.
  5. To send an automatic ‘daily lookahead email’ to the HSE Manager, tick the ‘daily lookahead’ box.
  6. Click the ‘Save’ button to save the new site, or ‘Back to List’ to leave Area Edit without saving.

To edit an existing Area, click the ‘Edit’ button next to the area name and proceed as described above.

To delete Areas, click the ‘Delete’ button next to the area name. This button is only available if the area has not been used in a permit.

Setting up Automatic Email Notifications for Environmental User, HSE and Contractor Manager.

Pisys PTW can send automatic email notifications on issue of Permits for a Site/Area.

To set up automatic email notifications, complete the relevant email addresses and tick boxes in the Site/Area Create/Edit screen (see screenshot below).

This can be a single email, or several email addresses separated by a semi-colon (;), or even an email group, set up on the company’s own email system by their IT department (e.g. sitemanagers@pisys.co.uk)
